Job Description

Job Title: Business Manager, Career Pathways Public Charter Secondary School
Job type: Part Time, 0.5 FTE
Expected hours: 15 to 25 hours per week
Salary range: $23.00 to $30.00 per hour (depending upon training, education, and experience)
Benefits: Available
Reports to: Executive Director
Start: June 1, 2025

SUMMARY: The purpose of the Business Manager is to ensure the district has accurate financial records including accounts payable, budgeting, payroll, and grant management. The Business Manager works in partnership with the Executive Director and our EdFinMN Finance Manager to maintain accurate records, on time reporting, reimbursements, and payments.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Collect and maintain employee information (e.g., I-9, W-4, payroll forms, benefits).
Manage vendor relationships, including invoices and contracts
Manage business office policies and accounting processes.
Maintain staff roster and substitute records.
Manage cash, cash box, and bank deposits.
Oversee onboarding and timesheet reporting.
Participate in audits, budgeting, and committee meetings.
Prepare finance-related reports.
Proofread invoice submissions before Executive Director approval.
Provide financial oversight and monitor accounting-related items.
Record minutes at school board meetings.
Serve as the main contact for financial services provider EdFinMN.
Manage reimbursements and organize credit card receipts.
Other miscellaneous human resources, finance and business office duties as may be assigned or requested by the Executive Director

OTHER DUTIES AND RESPONSIBILITIES
Keep supervisor informed of known actions, written or verbal, which may affect the ability to successfully perform assignments or adversely affect District operations.
Provide other support whether apparent, required or needed.
Complete additional projects as developed and assigned by your supervisor or management.
Regular and reliable attendance.
Available to work some night meetings, events, conferences, and school board.

REQUIRED QUALIFICATIONS
Formal Education and Experience Requirement: Associate degree (A.A.) or equivalent from two-year College or Technical School; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
Knowledge: 2+ years administrative/clerical experience.
Technical Skills: Proficiency in spreadsheets and public school finance. Experience with Google Sheets, Microsoft Excel, and student management systems.

PREFERED QUALIFICATIONS
Formal Education and Experience Requirement: Bachelor’s degree in Business, Communications, Finance, or Accounting; or, equivalent experience related to accounting, payroll, accounts payable and/or business office operations. Successful experience in a similar school or nonprofit position. Multi-lingual. Website management experience or training.
Knowledge: Knowledge of best practices and legal requirements associated with business office operations.
Technical Skills: Experience with Accounts Payable and Payroll. Headrush and JMC experience or training. MARSS/EdFi Reporting experience or training. Proficiency in SmartER or similar accounting and/or payroll software.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
This is a sedentary, in person, typical school office setting position. Filing and light lifting is required. Ability to communicate clearly in English is required.
