$50,000-$80,000

Objective:
The purpose of the Business and Payroll Manager is to ensure the district has accurate financial records including accounts payable, budgeting, payroll, and grant management. The Business and Payroll Manager works in partnership with the Executive Director and our Creative Planning Senior Finance Advisor to maintain accurate records, on time reporting, reimbursements, and payments.
Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
1. General Accounting:
Maintain and update financial records, including accounts payable and accounts receivable.
Process financial transactions, including invoices, expense reports, and payments.
Reconcile bank, credit card statements and other financial accounts in Bill.com
Oversees credit card purchase documentation, including receipt collection, coding review, and employee reimbursement processing using Bill.com.
2. Accounts Payable:
Review and process invoices for payment, ensuring accuracy and adherence to company policies.
Verify and appropriately UFARS code invoices and expense reports.
Prepare and process vendor payments.
Respond to vendor inquiries and resolve payment discrepancies.
3. Accounts Receivable:
Generate and send customer invoices.
Monitor customer accounts and follow up on overdue payments.
Reconcile accounts receivable and resolve discrepancies.
Manage cash on hand, cash boxes, and ensure timely bank deposits.
4. Financial Reporting:
Assist in the preparation of financial statements and reports.
Generate and analyze financial data for management reporting.
Assist with month-end and year-end closing processes.
5. Record-Keeping and Documentation:
Maintain organized and accurate financial records.
Ensure compliance with accounting principles and company policies.
Assists in audit preparation as directed by the Executive Director and Creative Planning.
6. Financial Analysis:
Analyze financial data to identify trends and variances.
Supports budget planning and financial forecasting.
Assists in the creation and maintenance of financial spreadsheets.
Provide insights and recommendations to improve financial performance.
Attends finance team and accounting meetings in an administrative support role, including documentation and action item tracking.
7. Compliance:
Supports procurement and compliance efforts, executing purchasing for network-wide needs.
Manages vendor relationships, ensuring compliance with procurement policies and maintaining purchase documentation.
Ensure compliance with tax regulations and other financial laws.
Keep up-to-date with changes in accounting standards and regulations.
Assists in the collection of data for claims processing and lease aid applications and other reports as needed.
Ensures financial compliance by managing vendor onboarding and maintaining an archive of executed contracts, W9s, Certificates of Insurance, payment information, and payment schedules
8. Payroll and Compensation:
Assists with day-to-day payroll functions, including processing payroll and ensuring accuracy.
Assists with staff leaves, PTO, and absence tracking systems as relates to payroll.
Ensures accuracy in payroll processing and compliance with payroll-related regulations.
Assists with payroll onboarding and offboarding, including verification of tax and payroll documents, and ensuring personnel funding allocation tools are maintained.
Oversees new hire wage notices and annual wage notices.
Oversees the calculation of prorated salaries and the review of leave-of-absence fields for accuracy.
Assists with TRA, PERA, and benefits processing in partnership with the Senior HR Coordinator.
Provides payroll support for leave of absence planning in partnership with the Senior HR Coordinator.
Audits payroll system for accuracy of deductions and contributions and annual pay.
Responds to payroll-related questions from staff in a timely, accurate, and customer-service oriented manner.

Qualifications

Education / Experience / Licensure and Personal Qualifications
Bachelor's degree in Accounting, Finance, or a related field preferred.
Proven experience in accounting or finance roles.
Experience with Skyward, Bill.com.com, and KronusHR or similar financial, ERP, and HRIS software
Experience using Mac computers and Apple operating systems
Advanced Excel and/or Google Sheets skills, financial modeling and creating systems of integrated spreadsheets.
Strong understanding of accounting principles and financial processes.
Familiarity with Minnesota state financial reporting requirements for Charter schools.
Attention to detail and accuracy.
Excellent organizational and time management skills.
Strong communication and problem-solving abilities
Must be detail oriented, multi-task oriented and flexible.
Self-motivated, proactive, accountable and resourceful in the completion of work assignments.
Ability to plan and organize work successfully with limited supervision.
