Job Description

Job Title: Administrative Assistant to the Principal

Location: Lakes International Language Academy


Reports to: Building Principal


Schedule: Full time. 7:00 AM – 3:30 PM, Monday–Friday, On Teacher Schedule. School Break hours as required.


Hourly Wage: $18.50 - $21.50

Position Summary:

LILA is seeking a highly skilled, organized, and proactive Administrative Assistant to the Principal who will provide confidential, high-level administrative support while maintaining a professional and welcoming front office environment. This role demands initiative, sound judgment, attention to detail, and the ability to manage multiple priorities with grace and efficiency.


This individual will serve as a key partner to the Principal, ensuring effective communication, calendar coordination, and execution of administrative and operational tasks. When working independently at the front desk, this role also upholds the front office as a secure, warm, and inclusive hub for students, families, and staff.



Key Responsibilities:

Executive-Level Administrative Support

Proactively manage the Principal’s calendar, appointments, and daily schedule.

Monitor and prioritize the Principal’s emails and phone messages; draft or coordinate responses as needed.

Prepare agendas, reports, and materials for meetings and internal communications.

Track key deadlines, manage workflow, and ensure timely completion of tasks.

Maintain confidentiality and exercise discretion with sensitive information.


Front Office Oversight

Supervise the receptionist during their duty hours, ensuring a professional, safe, and welcoming environment.

Serve as the primary contact at the front desk when working independently.

Greet visitors and manage front entry procedures following school safety protocols.

Answer and direct phone calls and assist with general inquiries.

Ensure the front office reflects LILA’s Commitment to Belonging, with attention to hospitality, inclusion, and professionalism.

Maintain the overall organization and functionality of the front office environment.


School Operations & Project Management

Coordinate and manage recurring school events and logistical tasks (e.g., school picture day, testing coordination, staff appreciation events).

Execute and support special projects and operational initiatives as assigned by the Principal.

Order and track office and instructional supplies and maintain inventory.

Collaborate with office team members and administrators to streamline communication and improve efficiency.

Qualifications

Qualifications:

High school diploma or equivalent required; associate’s or bachelor’s degree preferred.

Significant prior experience supporting an executive, principal, or high-level administrator is strongly preferred.

Demonstrated initiative, time management, and organizational skills.

Strong verbal and written communication abilities.

Professional, poised, and culturally responsive demeanor in a multilingual, multicultural IB school setting.

Proficiency with Google Workspace for Education (Docs, Sheets, Gmail, Calendar, etc.) is required.

Working Conditions:

Fast-paced school office environment with frequent interruptions and interactions.

May involve occasional lifting of up to 25 lbs.

Regular use of computers, phones, and standard office equipment.
