Job Description

Front Desk Receptionist


School/Location:

Lakes International Language Academy – Lower School


Primary Supervisor:

Principal


Functional Supervisor:

Principal’s Administrative Assistant


Work Schedule:

School year position mirrors the student calendar.


Part-time 4.5 hours per day, schedule to be determined


Also: Manage substitute assignments from home: 6 - 6:30 am M-F and/or 8 - 8:30 pm Su-Thur.


(Schedule may be adjusted during school holidays, professional development days, or other special events that affect school operations. Summer hours may become available.)


Hourly Wage: $17.00 - $20.00

Position Purpose:

The Part-Time Front Desk Receptionist serves as the first point of contact for students, families, staff, and visitors. This role requires a warm, professional demeanor, excellent communication skills, and the ability to manage a variety of front office responsibilities with efficiency and accuracy.


As a representative of LILA’s values and International Baccalaureate (IB) principles, the receptionist helps foster a positive, respectful, and globally-minded school culture.



Essential Duties and Responsibilities:

Greet and assist visitors, students, and staff, making each office visitor and caller know they are welcome and valued.

Manage visitor check-in and follow school safety protocols for access to the building.

Answer and direct incoming phone calls, take accurate messages, and respond to general inquiries.

Help maintain a clean, organized, and professional front office environment in collaboration with the Principal and/or Principal’s Administrative Assistant.

Assign substitutes to vacant positions and ensure they have access to necessary materials and information.

Receive and distribute mail, deliveries, and packages.

Monitor student arrivals and dismissals, including student sign-in/sign-out during the school day.

Provide administrative support to the Principal and Principal’s Administrative Assistant as needed.

Support school-wide communications as directed.

Assist with data entry and student record maintenance under the supervision of office staff.

Demonstrate initiative and professionalism in managing the flow and tone of the front office environment.

Qualifications

Minimum Qualifications:

High school diploma or equivalent required.

Excellent interpersonal, written, and verbal communication skills.

Able to work independently and manage multiple tasks in a fast-paced environment.

Flexible and able to adapt to changing needs during the school day.

Demonstrated problem-solving skills and resourcefulness.

Proficient with computers and common office software.

Punctual, reliable, and committed to a professional presence at the front desk.

Cultural competence and a commitment to equity and inclusion.



Desired Attributes:

Previous successful administrative, receptionist, or customer service experience.

Familiarity with school operations or front office procedures..

Proficiency with Google Workspace for Education (Gmail, Docs, Sheets, Calendar).

Bilingual skills in Spanish or Mandarin.



Working Conditions:

Fast-paced school office environment with frequent interruptions.

Regular use of computers, phones, and office equipment.

Occasional lifting of office supplies (up to 20 lbs).

Frequent interaction with students, families, and staff throughout the day.
