Job Description

Job Summary: This is a combined position as the Front Desk Attendant, Registrar, and Administrative Assistant to the Athletic and Activities Director positions at Lakes International Language Academy have been combined to create one full-time position. The person filling these roles is responsible for registering student and curriculum information, performing administrative support work, organizing the activities office, and serving as a backup to the school’s front desk reception area as needed. Work will be done under the direction of the Upper School Principal, the Upper School Counselor, and the Athletic and Activities Director.

Schedule:
Monday - Friday
6:30 a.m. - 3:00 p.m.
11 months per year
Unscheduled during the school’s 2 week winter break, the 1 week spring break, and the week including July 4th.

Essential Functions for Assistant to Athletic and Activities Director (30%):
Maintain and monitor student eligibility, medical records, reports, awards, etc.
Communicates medical and emergency information to coaches.
Schedule officials, transportation, and game workers or volunteers; generate and process fees and contracts.
Answer questions from students, parents, and the general public related to athletics and activities
Enters schedules, rosters and state tournament information on the MSHSL website and RSchool Today
Arranges schedule for site supervisors.
Creates and maintains various electronic and paper files.
Participate in professional development approved by the Upper School Principal.
Other duties as assigned.

Essential Functions for Registrar (40%):
Work with Advancement Director, Principals, Counselors to assist and encourage prospective families regarding tours, application and enrollment.
Work with the Lower School front office to coordinate efforts with families interested in enrolling students in both campuses.
Request records from prior schools
Works with counselor to schedules intake meetings
Inputs student student information into the student information system.
Manages student tours and visits.
Withdraws students and sends requested records to coordinating schools.
Creates registration packet for new students.
Receives and inputs student elective requests in Infinite Campus.
Assists Counselor in creating class schedules and rosters.
Manages Upper School summer school registrations
Maintains and updates student files and records.
Performs records management functions in Infinite Campus including creating portal accounts for students and parents.
Prepares and documents a master list of students under an order for protection or similar legal status. Receives and files court documents, shares information with necessary staff.
Works with MARSS coordinator on graduation reports, assisting with accuracy regarding credits and graduation status.
Other duties as assigned.

Essential Functions for Front Desk Attendant Support (30%):
Support Principal with all clerical needs.
Arrange school busing for field trips.
Update school calendar (currently RSchool Today).
Performs routine clerical and receptionist work involving tasks such as greeting visitors, document preparation and distribution, maintaining statistical information, distributing messages, copying, faxing and filing.
Manage and record student attendance.
Manage student cumulative files.
Serve as back-up for the health office as needed.
Maintain building security by following all security and emergency procedures.
Perform other duties as assigned.

Qualifications

Required Qualifications:
Associates / Technical degree
1-3 years prior Registrar experience
An equivalent combination of education and experience
Demonstrated ability to collaborate effectively.

Preferred Qualifications:
1-2 years experience with student athletics or activities
CPR / AED / First Aid Certifications
Valid driver’s license in the State of Minnesota
